This policy explains how Northdale handles information from website visitors, people requesting insurance, and people using our service forms. It also explains how to contact us about privacy and where additional insurance and state notices apply.
Who we are and what this policy covers
Northdale Insurance Agency, Inc. is an independent insurance agency. In this policy, Northdale, we, us and our refer to the agency. This policy covers northdaleinsurance.com and other Northdale pages that link to this policy, including our quote, contact, fleet risk review callback, certificate request and policy change forms. It also describes related communications with our office.
A carrier, premium finance company or payment provider may issue its own notice for information it handles independently. Employment and recruitment records are outside this website policy unless a separate notice expressly includes them.
Information you provide on this website
We collect the information you submit to respond to your request and provide related services. Please provide only the information requested. Current website forms are initial request forms and do not require financial account credentials, medical records or copies of identification documents.

Do not enter Social Security numbers, tax identification numbers, driver license numbers, complete card or bank details, passwords, medical information or other sensitive records in these general forms. Contact us for an approved method if such information is needed later. Do not include unnecessary information about a driver, claimant, employee or certificate holder. If you provide another person's information, you must have an appropriate basis to provide it and give any notice or obtain any permission required for your role.
Information collected during insurance services
When needed for a particular product or service, we may obtain mailing addresses, dates of birth, identification information, driver and vehicle schedules, property details, business operations, insurance applications, loss history, claims information, premium and payment records, finance information and authorizations. Life insurance applications may require health or beneficiary information through approved channels. The information needed varies by product, state and insurer.
Sources may include you, an authorized representative, insured businesses, drivers, insurance carriers, wholesalers, underwriting organizations, premium finance companies, inspection providers, consumer reporting agencies and public records. Motor vehicle and consumer reports are obtained only for a permissible purpose and with any required authorization. A website inquiry alone is not a blanket authorization for every report or disclosure.
Technical information and tracking
Our hosting, security and form services may process an IP address, browser and device details, request time, referring page, page requests and technical or submission logs to deliver the site, route requests, prevent abuse and investigate errors. The current preview is hosted on Netlify. The site's existing disclosure identifies Formspree as its form processor; our approved implementation uses that provider only as described in this policy.
This website does not currently use analytics tools, advertising tags, social media plug-ins or other embedded third-party tools of its own, and its pages do not set cookies or store information in your browser for tracking. Information collected by our hosting, security and form providers is described above. If we add analytics, advertising tags or embedded tools in the future, we will update this policy before using them.
Because this website does not currently track visitors across other websites or use their activity for advertising, browser Do Not Track and Global Privacy Control signals do not change how the site works. If that changes, we will update this policy and honor legally recognized opt-out preference signals where the law requires.
How we use information
We use information to respond to inquiries, compare available insurance options, prepare submissions, assist with applications and renewals, verify the authority of a person requesting service, process certificate and policy change requests, assist with claim reporting, answer billing questions and maintain our records. Carriers decide underwriting and claim coverage under their policies and applicable law.
We also use information to maintain and protect our systems, document instructions and consent, detect misuse, meet legal and contractual obligations, resolve disputes and improve services. Marketing uses are subject to applicable consent and opt-out requirements. A request for a quote or selection of a preferred contact method does not, by itself, enroll you in automated marketing texts.
When we disclose information
We disclose information reasonably needed for the purpose and subject to applicable restrictions. Recipients may include:
- Insurance carriers, wholesalers, managing general agents and underwriting or insurance support organizations evaluating or servicing a requested insurance transaction.
- Premium finance companies, payment processors and billing providers involved in an authorized payment or finance arrangement.
- Hosting, form processing, email, agency management, document, security and support providers working for us under appropriate obligations. Formspree may hold a submission copy in addition to delivering a notification to our office.
- Certificate holders or other recipients you authorize, limited to the insurance information appropriate for the request. A certificate is not permission to disclose an entire application or driver file.
- Regulators, courts, law enforcement and professional advisers when a disclosure is required or permitted for compliance, fraud prevention, legal proceedings or protection of rights.
- A successor or proposed purchaser in a lawful business transaction, subject to appropriate protections and any required notice or consent.
We do not treat a service provider relationship as permission for the recipient to use your information for unrelated marketing. We do not sell personal information, and we do not share it with third parties for cross-context behavioral advertising. A transfer of data to an advertising tool can have legal consequences even if no money is paid.
Text messages and marketing choices
Service texts and marketing texts are governed by our separate Text Message Consent and Opt Out Terms. Consent to marketing texts is optional and is not a condition of buying insurance. You can stop texts by replying STOP or by clearly asking us through another reasonable contact method. You can unsubscribe from marketing email using the link in the message or by contacting our office.
Mobile numbers, SMS consent records and SMS opt-in information are not sold, rented or disclosed to third parties or affiliates for their own marketing. They may be disclosed to providers supporting our messaging service and as required by law. A marketing opt-out does not cancel your insurance or erase records needed to service it. We may continue necessary nonmarketing communications through permitted channels.
Access by our personnel and service providers
Authorized personnel and service providers may process information in the United States and in other countries where they support our operations. Access should be limited to business needs and subject to confidentiality, security and applicable legal requirements. This policy does not itself waive a restriction on transferring or accessing insurance records.
Retention and protection
We retain information for the time reasonably needed for its purpose, subject to insurance record requirements, tax and accounting obligations, consent and complaint records, limitation periods, carrier requirements and legal holds. Inquiry records, insurance files, technical logs and marketing suppression records may have different retention periods. A request to delete information may not require deletion of an active policy file or a record that law requires us to keep.
We use reasonable administrative, technical and physical safeguards appropriate to the information and our operations. No internet transmission or storage system is guaranteed to be completely secure. Please use approved channels for sensitive documents and contact us if you believe information sent to us was exposed or misdirected.
Children and information about minors
This website is intended for adults and is not directed to children under 13. We do not knowingly solicit personal information directly from children under 13 through the general website. An authorized adult may need to provide information about a minor insured, dependent or beneficiary in a legitimate insurance transaction through an approved process. Such records are handled under the relevant insurance notice and are not automatically deleted merely because they concern a minor.
Your requests and choices
Contact us to ask about information we hold, to request access or correction, to raise a privacy concern or to exercise an applicable state right. We may need to verify identity and authority before disclosing or changing records. We do not require unnecessary sensitive information to make a request. Rights, response periods and exceptions depend on the applicable law.
External websites and payment services
The Pay Your Bill link opens Northdale's payment page operated by ePayPolicy. Payment details entered there are handled through that service. We may receive transaction details and payment confirmations needed for accounting. Review the provider's terms and privacy information before using it. Links to maps, insurers or other external resources lead to separately operated sites. Our responsibilities for information we disclose remain governed by applicable law.
Policy changes and contact
We will post an updated policy with its effective date when our practices change. We will provide additional notice or obtain consent when required before a materially different use. Simply continuing to browse does not substitute for a consent the law requires.
